Zoho Catalyst development for the workflow your standard apps cannot finish

Standard business applications cover many of the steps a company needs. The gaps usually appear between them: a lead that must reach another system, a customer portal with unusual rules or an approval that crosses organisational boundaries. Those gaps deserve a designed application, not a growing collection of disconnected scripts.

Overview

Fristine Infotech develops custom applications and integrations with Catalyst by Zoho where the platform fits the requirement. We begin with the business workflow, then define its data, permissions, integrations and operating responsibilities before choosing the components to build.

01

Start with the missing business step

01

Describe where work stops today. Who has the information, who needs it and what action should follow? Separate the essential first release from the features that can wait. A useful application brief names the user, the decision, the source of truth and the evidence that the task completed correctly.

02

Catalyst can support application logic, data storage, authentication and integrations through its documented services. Those building blocks do not remove application design decisions. The team still needs to define business rules, access boundaries and how the software behaves when a dependency is unavailable.

02

Choose Catalyst for a reason

01

Assess the existing Zoho estate, external systems, workload and operating skills. A custom connector or portal may benefit from Catalyst, while another requirement may be better served by configuring an existing application or using a different platform. The recommendation should explain that choice before implementation effort is committed.

02

Confirm required services, data centre availability, quotas and commercial terms for the selected design. Platform availability does not establish that every connected system, model provider or support process uses the same region. Data handling needs a component level review.

03

Design integrations around ownership and recovery

01

Define which system owns each record and which changes may travel in each direction. Agree identifiers, mapping and handling of missing or conflicting values. A successful API call is not enough if the wrong record was updated or an important status never returns to the original user.

02

Retries should be deliberate. Test duplicate events, delayed responses and partial success. Give operators a way to recognise failed work and recover without blindly repeating business actions. Keep connection permissions scoped to the required task and manage credentials through the approved process.

04

Relevant group delivery: an Australian OEM connector

01

In an anonymous Australian automotive OEM engagement, our group deployed a custom connector across 232 dealerships using Zoho Catalyst with custom development. It connected the OEM's lead flow with multiple dealership CRMs, enabling lead transfer in seconds and visibility of lead status and dealership generated leads.

02

The defined build took two months. The client confirmed at least three hours saved each week for the OEM team in total, and about one hour per dealership each week. These figures describe that deployment; they are not a forecast for another project. The OEM and connected CRM brands remain confidential.

05

Build permissions into the workflow

01

Separate administrative tasks from ordinary user actions. Test access to another customer's records, a removed user's session and a request that omits required information. Authentication identifies a user; application authorisation determines what that user may do with a particular record.

02

Use appropriate development and test data. Agree what can be logged, retained and exported, with responsibility for review. A convenient diagnostic log should not become an uncontrolled copy of sensitive business information.

06

Deliver an application that can be operated

01

Acceptance should cover the main task, permissions, integrations, failure handling and recovery. Include documentation for the people who will support the workflow after go live. Define release procedures and how a change to an external API or business rule enters the backlog.

02

The commercial scope should separate discovery, build, platform usage and ongoing support. Ownership of custom code, dependencies and documentation belongs in the agreement. Discuss your Catalyst requirement with Fristine and bring one workflow that your current applications cannot complete reliably.

FAQ

Frequently asked questions

001When should we use Catalyst instead of configuring Zoho CRM?

Start with the requirement and the limits of the existing application. Configuration may be sufficient for a supported workflow; custom development becomes relevant when the process needs additional application logic, interfaces or integrations. Compare ownership and maintenance as well as build effort. Catalyst should have a clear role rather than being selected before the problem is understood.

002Can Catalyst connect Zoho with non Zoho systems?

Integrations can be assessed through supported APIs and authentication methods. Confirm the external system's permissions, limits and behaviour, including whether status updates can be returned. Define record ownership and recovery before building. The existence of an API does not mean every desired business action is available or that the integration can be maintained without ongoing attention.

003Does serverless mean there is nothing to operate?

No. Managed infrastructure reduces some responsibilities, but application behaviour, integrations, access, costs and incident handling still need owners. The delivery plan should explain monitoring, failed work recovery and release procedures. A custom application remains an operational commitment even when the team does not manage the underlying servers directly.

004Can you promise the same two month delivery as the OEM project?

No. That duration belongs to a defined Australian engagement with its own scope and dependencies. Your estimate depends on access, business rules, integrations, testing and reviewer availability. We use the example to demonstrate relevant delivery experience, while planning your milestones from the requirements and constraints of your own application.

005Who owns the application and custom code?

Ownership, usage rights, third party dependencies and handover should be stated in the engagement agreement. Distinguish custom work from platform services and pre existing components. Confirm access to repositories, deployment information and documentation. A product demonstration or proposal headline should not substitute for the specific contractual terms governing the delivered application.

006How do you handle duplicate or failed integration events?

The design should identify a business event consistently, record its processing state and define safe retry behaviour. Test interrupted connections and partial success. Operators need a visible exception and a recovery route that does not repeat completed business actions. The exact implementation depends on the participating systems and their supported APIs.

007Can an AI feature be added to the application?

Assess the decision or task the AI would support, its approved sources and the consequences of an incorrect output. Define review and permissions before connecting actions. Model evaluation, cost and data handling are separate design concerns. An AI component should improve a defined workflow rather than be added solely because the platform can call an API.

008What should we bring to the first discussion?

Bring a workflow example, the users involved, current applications and the point where work fails or becomes manual. Describe expected volume and the required outcome in broad terms. Do not send credentials or customer records through the enquiry form. Detailed technical access can follow a scoped assessment and an agreed handling process.
